Description
Provides sales administrative support to the sales team including: sales accounting, vehicle purchasing support, daily communication with sales representatives, operation issues follow-up, develops and maintains reports, reconcile sales accounts, keeps track of inventory and special projects as assigned. Position interacts with all levels of management.
Responsibilities
Administrative Duties
  • Accountable for accuracy of database information
  • Process vehicle inventory and sales documentation
  • Reconciles and reports Truck and Trailer sales to the Manufactures
  • Stays abreast of law changes regarding sales tax, registration, FET, eTags, etc.
  • Reviews and verify truck orders for accuracy (pricing, specs, shipping destination, etc.)
  • Coordinates truck moves; issue purchase orders; dispatch drivers
  • Send new truck order receipt confirmations to salesman & managers
  • Save / send daily truck reports from Kenworth
  • Collect & Save Deals Pending files
  • Review new truck purchase orders; alert director of anomalies
Accounting-Related Duties
  • Process title work including payment and refunds including out of state processing
  • Process and coordinates receipts for the sales department daily
  • Process warranty registration for vehicles including extended warranty purchases and payments
  • Coordinates and process truck and trailer sales deals
  • Handles the processing of Mechanic liens
  • Posts vehicles sales invoices and purchase orders
  • Process FET, VIT and eTag payments
  • Coordinates with F & I department on receipts and payment of contracts
  • Trains appropriate staff on sales tax law changes
Qualifications
  • High school diploma or higher diploma in Business Administration
  • Relevant work experience preferred
  • Above average knowledge of financial and accounting concepts
  • Excellent written and oral communication skills
  • Proficient in Microsoft Office Suite (Outlook, Excel and Word)
  • Pleasant personality, self-motivated and hardworking
  • Pre-employment drug screening and background check required.
